Enabling signup forms
By default, when you add an event on this site signups will not be enabled. This is so that departments who run their own signup forms can easily list events here without creating confusion for students and faculty by having duplicate RSVP forms.
To begin setting up your RSVP windows, visit the department's manage events page and click "Signup windows" under the event.

On the following form, you can activate or deactivate student and faculty RSVPs.
To allow time for setup and data becoming available, signup windows will not open until a fixed date each semester, which is currently set to slightly more than two months before Commencement for students and three months for faculty. If you turn them on before that date they will display the expected opening date on the event page.
Student signups
The only config options for student RSVPs are whether to activate them and the deadline.
Our RSVP system only allows students to sign up if they have a pending or awarded degree for the next semester or earlier. This cannot be configured individually for departmental events, so if you would like to be more or less strict than that you will need to run your own student RSVP system.
Student RSVPs will be limited according to the selection you made for "Type" while adding your event. If you selected "Graduate" or "Undergraduate" then only students with valid degrees of those levels will be allowed to sign up.
Faculty signups
Faculty RSVP forms allow anyone with a UNM NetID to sign up. They may warn some users if they appear to be students or are not on our latest lists of faculty or staff, but will still allow anyone with a NetID to RSVP. If you enable faculty RSVPs you should check the RSVP report regularly for invalid signups.
Regalia rentals
For faculty signups you may also enable regalia rentals, if you would like to use our regalia ordering system to rent regalia for your faculty and potentially save money by sharing rental costs with OUS and other departments, you should check "Enable faculty regalia rentals."
Please note that if you enable regalia rentals you will need to provide a billing index and you will potentially incur charges of up to $70-80 per faculty RSVP. Regalia rentals cannot be disabled once a faculty RSVP has been received for your event.
If you enable regalia rentals please encourage your faculty to RSVP as early as possible. An immovable bookstore deadline based on Jostens' deadlines will land relatively early in the semester (if you enable rentals it will be listed on your RSVP page automatically once it is known), and rentals requested after that date will not be guaranteed and will most likely be filled from a waitlist, using generic UNM PhD regalia in the closest size available from a pool of extras.
Linking to your signup forms
You are encouraged to promote your signup forms directly to your department's student and/or faculty mailing lists. The URLs we suggest using for this purpose are:
Your main event landing page: this is the page linked to from the main convocation list, it will include links to any enabled RSVP forms, and the URL will look something like https://graduation.unm.edu/departmental/your_department/sp25/
Direct links to the RSVP forms: you can also link directly to the URLs linked from the blue sign up buttons on your landing page. Those URLs will look something like https://graduation.unm.edu/departmental/your_department/sp25/_faculty_sign_up.html
or https://graduation.unm.edu/departmental/your_department/sp25/_student_sign_up.html
If you have also enabled a custom landing page, you will need to promote the direct links yourself, as the main event landing page will redirect visitors to your custom landing page. For more information see Custom redirects
